Who we are
Greenbound is run by [OPERATOR: company name, company number, registered address]. If you have a question about your data, email [PRIVACY EMAIL]. [ICO registration number, once registered]
Two kinds of data, two people in charge
Organiser accounts. When a society, club or organiser signs up, we decide how their account details are used. For those we are the "controller".
Golfers in an event or league. When an organiser adds golfers, or golfers join through the organiser's link or QR code, the organiser decides what the details are used for. For those, the organiser is the controller and we look after the data for them as their "processor". Questions about why you're in a society's event are best asked of the organiser. We will help them answer.
Golfer sign-ins. If you sign in to Greenbound yourself to see your own rounds, we are the controller of that sign-in.
What we hold
| Who | What |
|---|---|
| Organisers | Name, email, phone, the society or club name, how you heard of us, roughly how many play, and any plan you asked about. |
| Golfers | Name, handicap index, which tees you play off, and, where the organiser uses them, age, sex (for tees and allowances), home club and WHS number. Email or phone only if given. Your scores, results and your signature on a card. |
| Phones | A random key saved on your phone when you check in, so your scores are known to be yours. If you turn on notifications, the address your browser gives us to send them. |
| Everyone | Server logs (including IP address) kept to run the service and keep it secure. |
Why we use it, and on what legal basis
- Running the round, league or cup: scores, results, tee times and leaderboards. The legal basis is the contract with the organiser, and for golfers the organiser's legitimate interest in running their event.
- Emails about your account to organisers, such as sign-in links and help getting started. The basis is legitimate interests, and every one has a way to stop them.
- News and offers: only if you ticked yes. We keep the wording you agreed to and when. You can unsubscribe from any email.
- Keeping the service secure and fixing faults. The basis is legitimate interests.
- Notifications on your phone: only if you say yes when your phone asks. You can turn them off in your phone’s settings.
We do not sell data, show adverts, or use advertising or tracking cookies.
Who can see what
Results are meant to be seen by the people you played with. Leaderboards, league tables and the clubhouse TV screen show names, handicaps and scores to anyone with the event's link. Organisers can share results, for example on WhatsApp.
Companies that help us
| Company | What for | Where |
|---|---|---|
| Render | Hosting the app and its database | Frankfurt, Germany (EU) |
| Resend | Sending email | [CHECK: US, and the transfer safeguard used] |
| Twilio | Text messages, if switched on | [CHECK: US, and the transfer safeguard used] |
| [PAYMENT PROVIDER] | Taking payment, once payments are on | [CHECK] |
How long we keep it
- Organiser accounts and their events and leagues: while the account is open. When an organiser deletes the account, it goes.
- Anything deleted in the app sits in a bin for 30 days so it can be put back, then it goes.
- Practice accounts are wiped after a day.
- If a golfer deletes their Greenbound sign-in, their name comes off everything. Their scores stay, marked as "Deleted golfer", so other people's results still add up.
- Past events are deleted three years after they finished, unless a league still counts them. Sign-up forms are deleted after three years. A golfer who hasn't played or used Greenbound for three years has their name and details removed, the same as deleting their own account.
Your rights, and complaints
You can ask for a copy of your data, ask for it to be corrected or deleted, object to how it is used, or withdraw consent to news emails. Signed-in golfers and organisers can delete their own account in the app. Golfers who only checked in by QR can ask their organiser or email us. We answer within one month.
If you’re unhappy with how we’ve handled your data, tell us first at [PRIVACY EMAIL]. We’ll acknowledge your complaint within 30 days and tell you what we’ve done about it. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Children
[TO DECIDE, pick one]
Option A (no juniors): Greenbound is for adults. Organisers must not add anyone under 18.
Option B (juniors play): Junior golfers can be added by their club or society. We hold only what the organiser needs to run the event, show juniors' results only to the event, and never send them news emails. Parents can ask us for a copy of, or to delete, their child's data.
Cookies and what's saved on your phone
We only use what the app needs to work: a sign-in cookie for organisers and golfers who sign in, and a key saved on your phone when you check in to a round. We load nothing from other companies to draw the pages, not even the lettering. None of this tracks you across other sites, so there's no cookie banner.
Changes
If we change this policy in a way that matters, we'll say so in the app and email organisers before it takes effect.
